How do you copy a segment?

If you want to copy a segment with the same tags and rules, follow these steps:

  • Go to the segment you want to copy
  • Click on "Options"
  • Select "Create Copy"

Once the segment is copied, it will appear among your other segments with the same name as the original but with "copy" at the end, as shown in the image below.



If you want to change the name of the copied segment, you can do so by clicking on the name, typing the new name, and then clicking the checkmark to save the change.


Why doesn't the number of subscribers in the segment match?


Segments in Rule are updated continuously in the background, but the number of subscribers is not always shown in the interface. The number you see reflects the number of subscribers at the last manual update (sync).


This can sometimes lead to confusion, such as, "Why are there so few customers in my segment?" However, the number displayed in the interface doesn't always match the actual number of subscribers in the segment.


The number of subscribers will be updated in the interface when:

  • You create the segment for the first time.
  • You go into an existing segment and click "Save" (this updates the number of subscribers).

The number of subscribers will not update in the interface when:

  • You send a campaign to the segment (the updated number will appear in the campaign summary, just before you click "Send").
  • An API call adds a recipient that matches an Automation (the new recipient is added directly to the segment but is not shown in the interface).

So, segments are updated as they should, even if it's not always visible in the interface. If you want to see the current number of subscribers in a segment, you can go into the segment and click "Save" – this will update it, and you'll see the correct number.



How do I remove a segment from a subscriber?

You cannot remove segments from individual subscribers in the same way you can with tags.


The reason is that segments are based on rules that are grounded in each subscriber's data. Segments are created based on rules driven by customers' actions and their membership data. For example, if a filter is based on a completed purchase (OrderCreated) of a dress, the subscriber will be tagged with the "Dresses" segment.


Since segments reflect actions and data, they cannot be manually removed from individual subscribers. Instead, the subscriber will automatically be added or removed from the segment based on their data and actions that match the segment’s criteria.



To adjust subscriber data, correct the customer's information directly in your database.


Exclude subscribers in a segment with a specific tag

A subscriber can be in multiple tags at the same time. For example, if you want to see all subscribers who are only in the BackInStock tag and not in CartInProgress, you can exclude these subscribers in a segment.


To do this:

  1. Create a segment as usual and select the tags the segment should be based on (in this case, BackInStock).
  2. Choose the tag you want to exclude. To exclude a tag, write a "-" (minus) before the tag name and select it.


The result of this segment will show only the subscribers who are in the BackInStock tag and not in CartInProgress.



How do I move a subscriber to another segment?

If a subscriber, for example, wants to receive the newsletter in English instead of Swedish, or if there is another reason to change a subscriber’s segment, follow the steps below:


A common question might be: "Is it enough to change the subscriber's language to English if they already have another language registered?"


The answer is Yes, that’s enough.


When you change the subscriber's language, for example from Swedish to English, in their customer profile (i.e., in the language field), the system detects this change and automatically updates the subscriber to the corresponding language segment.


Another example is if you want to change the country linked to the subscriber via segment. In that case, you must re-import the subscriber with the new country data.


Important note: The segment you wish to move the subscriber to must already be created. Learn how to create a segment here.


To see the segment change on the desired subscriber, you need to save the segment again. Go into the segment, select the affected segment, and click Save. This will update the subscriber's profile, and you’ll see that they now belong to a different segment.
